General & Onsite Information

  • All session room screens will be in 16:9 format
  • Feel free to use the ICN 2018 PowerPoint Template for your presentations. Please download it here.
  • You are requested to check-in your presentation (on your USB-removable drive) at the Speaker Ready Room at least 12-24 hours prior to your scheduled presentation. If for any reason you are unable to meet this schedule, please inform the ICN 2018 Abstract & Speaker Manager at ICN2018-speakers at icsevents.com before the Congress
  • Please note that technicians in the meeting rooms are not prepared to receive presentations directly from the speakers
  • Computers are available for you in the Speakers Ready Rooms for your final check
  • Once the presentation has been checked, the technical staff will be responsible for its delivery to the session rooms in preparation for your presentation
  • Macintosh presentations (i.e. Keynote) cannot be accommodated, unless saved to a PC-formatted USB stick
  • Please be in your session room 15 minutes before the start time of the session. The Session Chairs will start and end strictly on time

Presentation Preparation

  • You will be given the opportunity of a 12 minutes Oral Presentation (10 mins + 2 mins question and answer period) and are requested to prepare a PowerPoint presentation (16:9 format), including a title and author slide.
  • Your presentation must be prepared in PowerPoint2000 or any later PowerPoint Version (MS Windows) and provided on an USB-removable drive
  • Set the slide size of the page to “On-screen show” and landscape orientation in the page set-up section. (Portrait orientation will not be displayed properly)
  • Use high-contrast lettering, and not too much text per page (max. 10 lines or 15-20 words). Make sure you use high-contrast colors for the best definition of your text. Please be aware that red letters or lines are usually not visible
  • The inclusion of a disclosure slide is mandatory even if you have no conflicts to declare (this is not included in your 10 slide limit)
  • It is recommended to keep a copy of your presentation at the time of the presentation, should a problem occur. Furthermore, please have the presentation printed on paper, for reference during the lecture
  • Special characters: To avoid any compatibility problems, please do not use special characters (i.e. “, Ö, Ø, ñ, ?, ®, ý, }, { etc) to name your presentation or movie files 

Poster Presentation Information

The maximum size of the poster is 4’ (w) x 6’ (h) portrait size

  • All Posters will be displayed for 2 days during the Congress
  • Poster Boards will be velcro and push pin compatible. Push pins will be provided
  • Keep illustrations and text simple, remember that one must be able to read it from a distance
  • Prepare your poster thoughtfully, remember that approximately 200 posters will be presented at the same time – make your poster interesting!
  • Poster Board numbers will be provided in a separate email in June – Management will identify each poster board with the poster number

Poster Printing Information

The Congress is pleased to offer a Poster Printing Service to all Poster Presenters.  Please note that Poster Presenters are responsible for the payment of the poster printing. 

This will allow you to have your poster printed and just pick it up at the Registration Desk, located in the Coat Check Room, during the following hours.

  5. Add in your Abstract ID number in the Special Instructions field
    Note: Without this information, it will be difficult to find your poster at the Registration Desk
  6. Please note that your credit card details are required to complete your order.  Please provide your credit card details during the upload process OR call the branch location with the information 1-604-684-4410.  
    Unpaid posters will not be printed.
  7. You will receive a confirmation email upon completion of your order

Poster Printing Guidelines

It is important to set up your slide to a size that is proportional to the printed size of the poster. In PowerPoint, go to Page Setup and select Custom. Fill in the proper width and height.

Maximum poster size: each poster can be a maximum size of 4′ (w) by 6′ (h) 

One slide only please! – Your Poster will be created from a single PowerPoint slide. Please submit only one slide per poster.

Fonts – Choose two fonts at most, nothing cursive. Stick to sans-serif fonts for legibility: Arial and Helvetica are recommended. If you wish to use a serif font, we recommend Times New Roman (Windows) or Times (Macintosh).

Excel Charts – You can paste Excel charts into PowerPoint: from Excel, select your chart and Copy, then in PowerPoint, Paste the chart where you want it to appear. For detailed instructions, please click here.

Word Text – insert a text box into your PowerPoint slides, copy the text from your Word document and paste it into the textbox in your slide.

Image Files – To add image file, select “Insert”>”Picture”. Images should be good quality and appear clear and sharp on your screen. Since they will be enlarged for printing, we recommend that images are set to a resolution of 300 dpi.

Backgrounds – For legibility and viewing ease, we suggest that you keep your backgrounds simple and avoid using dark colors.
